3.0 Welcome
Jan Wallace welcomed everyone to the zoom meeting with a Karakia. The representatives from each of the organisation introduced themselves and spoke about their organisation’s role in the community.
4.0 Guest Speaker from the Office of the Privacy Commissioner
A presentation was shared outlining what the privacy act is and how it affects all.
Key information
The Privacy Act 1993 was replaced in 2020, takes into account the changes in technology, addressing the ways information is collected, how it is stored, the amount of information and how it is accessed.

An organisation must notify the Privacy Commissioner about a privacy breach. Since December 2020 there has been a significant increase in the number of privacy breaches. The causes of the breaches are 62% human error, 25% malicious attacks, 6% theft of information, 4% other and 3% due to a system fault.
What should organisations due to comply with the Privacy Act:
- Appoint a privacy officer – all organisation must have one regardless of size
- How do you keep your records secure
- Develop good policies for handling personal information
- Developing a privacy statement – the privacy website has a tool to assist with developing a statement, priv-o-matic
- If a breach occurs, confirm facts & notify affected parties
- Make learning about the Privacy Act a priority
- Do regular checks and testing
- Work closely with IT to ensure your systems are secure

5.0 AGM
5.1Minutes from 2021
The minutes from the 24th March 2021 AGM meeting were share in the zoom meeting and are available on the Community Networks Franklin website – 2021 AGM meeting minutes
Motion – The minutes of the AGM held 21st March 2021 be accepted, proposed by CM and accepted by AD, approval by all.
5.2 Apologises

Chair & Financial Reports
The Chair’s report was presented, all scheduled CNF meetings have been able to take place either in person or virtually with a guest speaker at most meetings.
Motion – The Chair’s report be accepted, proposed by AD and accepted by HP, and approved by all.
The financial report was presented, there is a couple of invoice from the previous financial year include in the 2021 report due to timing of the payment.
Motion – That the financial report be received, proposed by JT and accepted by AD, and approved by all.
5.3 Sustainability Expo – report from JT
The planning commenced in November 2021 with some of the CNF executive members with assistance of representatives from Waiuku Zero Waste. The original date for the expo in March 2022, due to Omicron, has to be moved to Saturday 14th May 2022, with 21st May being the rain date, and it will be held at the Pukekohe Anglican Church complex.
Indications of interest have been received from groups, displays will include repair café, children’s junk based activities, composting, craft activities for children making bird feeders, pruning workshops, being sustainable with electricity and water & cooking on a budget. Electix will be manning a barbeque on the day.
The name of the expo is “The little green expo – sustainability made simple”. Invitations are going out soon for CNF members and once the list of participants are confirmed then advertising for the public will commence.
We need CNF members to promote the expo within their organisation and distribute the promotional material out through their wider community.
Motion – Proposed by JW that the report be accepted, seconded by SP, approved by all.
5.4 Election of CNF executive
Prior to the meeting nominations for the executive committee for 2022-2023 were called for, the forms were completed and sent through to JW.

Motion – JW proposed that all of the nominations are accepted and was seconded by JT, approved by all.
First meeting of the new executive will take place on 12th April, to be confirmed closer to the date if the meeting will be in person at Pukekohe Anglican Church complex at 2.00 or via zoom.
5.5 General Business
At the first executive meeting an agenda item is to discuss how contact details from the member organisations should be displayed on the website in light of the presentation from the Office of the Privacy Commissioner.
The meeting was closed by Jan Wallace at 11.45.
Next meeting will be April 27th, 10.00 to 12.00 depending on the level it maybe in person at Pukekohe Town Hall Concert Chamber and/or on zoom.
